General information

Access to the conference rooms and social events

All participants will receive a badge during the registration at the conference. The badge must be worn all times and is your entrance ticket to the session rooms and social events organized outside the conference venues.

Accommodation

You are advised to reserve your rooms well in advance as bookings received after May 8, 2020 cannot be guaranteed. Please go to the hotel booking site for more information and booking instructions.

Accompanying Persons

Registered accompanying persons can participate at the social events only, welcome reception on Thursday evening, optional city tours (extra costs € 10),  and the Conference dinner on Saturday evening. Registration of accompanying persons can be done through the registration site.

Authors of submitted papers

Early february, all authors are informed by e-mail of the status of their paper. Please contact eale-sbe@maastrichtuniversity.nl in case you did not receive this information message. Please note that paper submitters have to be registered before April 15,  2020 otherwise their paper will NOT be included in the sessions program.

In addition to our rule about one submission per person, there is a rule about one presentation per person. This includes posters and is strictly enforced. So if you had a paper accepted but plan to have a co-author present it, make sure your co-author is not already presenting a paper for this will not be allowed. This includes posters.

Cancellation policy conference registration

Cancellation of registration before May 25, 2020: 50% refund of registration fee. Cancellation of registration on or after May 25, 2020:  0% refund of registration fee.

Coffee Breaks/Lunches

Coffee breaks and Lunches are served  at the Titanic Chaussee hotel.

Conference app instead of programme book
Please note that the complete program will be available at the EALE conference app. We will not have any printed program books available. We will however, make a  PDF of the program available shortly before the start of the conference.   If you prefer a printed version, you can download/print the programme book from the EALE website.

Disclaimer

The conference organisers are not liable for damages and/or losses of any kind which may be incurred by the conference delegates or by any other individuals accompanying them, both during the official activities as well as going to/from the conference. Delegates are responsible for their own safety and belongings.

Force Majeure

The conference organisers are not liable for any claims for damages and/or losses if the entire conference has to be cancelled due to a force majeure incident.

Tweets will be posted by  EALE and by participants (#LABECON2020). These tweets may mention persons and/- or publish pictures. In case you have strong objections against being mentioned or published, then please inform us immediately at eale-sbe@maastrichtuniversity.nl

Important numbers

The emergency numbers in Germany are 110 (Police) and 112 (Any emergency, Fire Brigade & Ambulance). You can dial free of charge from any public call box. Note that you can’t call 112 with a phone without SIM card. Through the 112 number, you can call for an ambulance (Krankenwagen).

Insurance

The registration fee does not cover insurance for the delegates. The conference organisers recommend that delegates take out insurance in their home country to cover pre-journey cancellation for personal reasons and necessary insurance to cover accidents, medical expenses and loss of personal belongings during the visit.

Germany power adapters

In Germany the power plugs and sockets are of type F. The standard voltage is 230 V and the standard frequency is 50 Hz

Membership EALE, SOLE, AASLE

In order to attend the EALE SOLE AASLE World conference, it is compulsory for participants (not for accompanying persons)  to become a member of either one of the societies for 2020.

The language of the conference is English.

Smoking policy

Germany  has a non-smoking policy, i.e. smoking is prohibited in public buildings, public transport, taxis, buses and trains. Smoking is also prohibited in our conference venues.

Germany is in the Central European Time zone.

VISA applications
